How to Choose a Videographer for a Large-Scale Event

Highlights from the 2026 Space Coast Food & Wine Festival in Melbourne, Florida. This recap features aerial views of the waterfront venue, local food and wine vendors, tastings, and patrons enjoying one of Brevard County's top culinary events along the scenic downtown riverwalk.

A large-scale event is the worst possible place to discover your videographer is in over their head. Multiple stages, thousands of attendees, low light, tight schedules, VIPs who won’t get a second take — it’s a different sport than a small shoot. After filming hundreds of events a year across South Florida, here are the seven things we’d tell anyone to check before they hire.

Crew size and coverage plan

One person cannot cover a large event. Ask how many shooters they’ll bring, where each will be positioned, and how they’ll cover simultaneous moments — keynote, breakout, and networking all at once. A real coverage plan is the first sign of a pro.

Redundancy and backup gear

At scale, camera gear sometimes fails. Your videographer should record to dual cards, carry backup cameras, audio, and batteries, and have a plan for power and storage. “We only had one camera” is not an acceptable post-event sentence.

Audio capability

Bad audio ruins good footage. For large events, ask how they’ll capture clean sound from the stage feed, wireless mics, and the ambient room — not just the on-camera mic.

Experience with events your size

Shooting a wedding is not the same as shooting a 2,000-person conference. Ask to see work from events of comparable scale and complexity, and whether they’ve worked your type of venue.

Can they do photo too?

Hiring one team for both photo and video keeps your visuals consistent and removes on-site coordination headaches. At Lalani Media this is standard — plus drone, headshots, and social content from the same crew.

Turnaround time

Highlight reels age fast. Confirm delivery timelines in writing before you book. We typically deliver full photo galleries in as little as 24 hours after the event, and videos within 48 hours - so clients can post while the event is still fresh in people’s minds.

Are they a partner or a transaction?

The best vendor relationships outlast a single event. Look for a team that asks about your goals, not just your date — one that won’t just do a transaction, send an invoice, and then disappear. Many of our clients have stayed with us for 5+ years for exactly that reason.

The bottom line

For a large-scale event, prioritize crew depth, redundancy, audio, relevant experience, all-in-one photo and video, fast turnaround, and a genuine partnership. Get those things right and the footage should take care of itself.
